A sales team incentive with a challenging turnaround time.

A new client approached us to work with them on delivering an incentive event for their successful sales team. Due to a delay in internal processes at our client’s organisation, the desired event date was just 2 months from the time we received the brief.

Within this time, we needed to source a venue, manage all travel and hotel bookings, delegate registration, activities, catering, logistics and branded gifting for the event. 

 

We were ready for the challenge and confident we could create a truly memorable incentive.

Objectives.

Having had an incredibly successful previous year, our client wanted to host an event that celebrated hitting targets with the sales team. The destination needed to be luxuriously rewarding and in a warm climate that would allow the group to get out and enjoy the sunshine. 

As well as being an opportunity to reward the team for their achievements, our client wanted to create an opportunity that capitalised on the momentum and use the time the group had together to look at the year ahead and outline new targets.

Solution.

With only 2 months to source a destination, organise travel and put together an impressive 4-day programme, we got to work straight away.  

 

Our team have a wealth of destination knowledge and knew exactly where to look for a luxury property in the sunshine that hit the brief and had availability at such short notice. We proposed programmes in Marrakech, Greece, Villamoura and Malta to our clients, with Malta being the chosen destination. 

We have trusted destination management partners located on the ground in all corners of Europe who we work with to get the best out of an overseas location. Working together, we were able to quickly arrange off-site dinners, transfers and incentive activities. 

 

Managing event websites, registration and apps in-house at Agiito meant we wasted no time in liaising with other parties and were able to send out event communications like invites and details in a very short timeframe. 

Similarly, our in-house travel team made it incredibly easy to source flights and arrange itineraries for the whole group of 100 at such short notice. Our client did not have to engage with other partners as we were able to fulfil each element of the incentive in-house and streamline billing.

Results.

Throughout the planning process, COVID restrictions were still present and in force throughout many destinations across Europe. The client wanted the event to be as stress-free for attendees as possible, and so requested a destination that would allow all delegates in regardless of vaccination status and did not have restrictions once on site. Whilst this reduced the options we could propose, the client was happy with the range of options we found, and the 5* Westin Dragonara resort was a perfect base for the event. 

COVID also challenged us with reduced flight schedules running to all destinations, however our in-house travel team enabled us to navigate these challenges and successfully get all delegates to and from the event.  

The result was a huge success for our client, with delegates getting the chance to build relationships as a team. To get the group working together and also out exploring the town of Valetta, the client selected an iPad challenge from our proposed activities that took attendees on a magical tour of the location. 

Delegates got competitive whilst experiencing historical treasures which was hugely well received.

What made it stand out.

We added personalisation in many ways during the event, such as utilising event technology in a fun and creative way that also heightened engagement.  

The app asked attendees to submit song requests throughout the event which we passed on to the DJ during our group dinners, so each attendee had the chance to dance to their favourite song. 

In a more tangible way, we sourced personalised luggage tags for all delegates that were posted out to their home addresses prior to the departure date. This built a sense of excitement and anticipation before the event even began.
