Awe-inspiring reconnection for a European senior leadership team.

This European Leadership Conference was the first time since 2019 that senior representatives from across Europe would reconnect to discuss key business agenda items and acknowledge company achievements.

As in-person events had been on pause for two years, Agiito worked closely with the organising committee to put on an awe-inspiring event that proved the value of international meetings.

Our clients’ main objective for the event was to facilitate discussion that would enable the delegates to commit to their own objectives towards continued business success. Second to this, but equally as important, was to celebrate recent achievements.

 

Overall, the event needed to showcase the value of meeting in person and impress the company directors at every opportunity. As their trusted agency, at Agiito our objective for the event was as always, to deliver an outstandingly memorable event within the agreed budget guidelines.

5* * Anantara New York Palace  Hotel in Budapest

Solution.

We looked closely at every detail of the attendee journey during the planning stages, including registration, transport, and content, to ensure we achieved all the set objectives. Our network of preferred local partners throughout Europe boast great knowledge of a destination. Working with them in Budapest enabled us to put together an agenda of impressive venues, engaging activities, and exciting entertainment for this project.

 

Adopting the ‘awe-inspiring’ mindset, we contracted the 5* Anantara New York Palace Hotel in Budapest for the main conference and 273 accommodation nights. The spectacular Kiscelli Museum, a hidden Budapest treasure, was booked for an arrival awards ceremony and gala dinner.

 

After conference components discussing sustainability, resource management and technology implementation, we organised a team-building orienteering activity that allowed delegates to explore Budapest with knowledgeable tour guides.

 

We put on a memorable last night with dinner at a premium beach club, found a 30-minute drive from the main hotel. Complete with cocktails, dancing and a final celebration of success with an epic fireworks’ display to end the night.

Results.

During our preparations, the changing scope of the coronavirus pandemic and unfolding Russo-Ukrainian war were concerns that were watched incredibly closely by Agiito and our partners. Delegates were attending from various countries that all had different policies regarding coronavirus and travel. Simultaneously, the war in Ukraine had the potential to disrupt operations in Hungary at short notice. 

It was important that we made attendees feel safe during their travels, and that they had control to change their arrangements should they want. Utilising our own registration system meant we could send out multiple communications and keep delegates informed of any important updates. Our team provided many hours offering support to delegates, in particularly for scheduling transport when several airline strikes took place during the return journey for many delegates. 

Despite these challenges, we were proud to uphold our reputation of strong customer service and quick implementation throughout the project. All of this was achieved within the boundaries of our client’s budget.  

Unique entertainment

What made it stand out.

We were able to make a typical gala dinner stand out by pairing the quirks of an unusual venue with truly unique entertainment that went hand-in-hand with its surroundings. The Kiscelli Museum was built in the 17th Century and as such, had incredibly high ceilings.

To make the most of this space, we booked aerial acrobatics who performed gymnastics in the arches above where guests were dining. This was received incredibly well from everyone in the audience.

Another aspect that stood out for us, was echoing the topic of sustainability that featured in the conference content, into our project management. We aimed for zero-waste and used biodegradable name badges for the delegates.


We were able to reduce emissions with an environmental and economic solution that utilized luxury shuttle buses and coaches rather than single occupancy transfers for the majority of the delegates.
